The problem
Reviews were being assigned by hand across a spread of Google Sheets, with no single owner for any given review and no structure holding the process together. As volume grew, that manual assignment became a bottleneck, and with the sheets so fragmented there was no real way to see which reviews were active, who had them, or what stage they were at. Just keeping it all coordinated was starting to slow the business down.
The approach
I moved everything into one Airtable base and didn't try to patch the existing sheets, because the problem was in how they were set up. Data entry went through forms, so it stayed controlled and wasn't open to anyone with access to the tables underneath. Different users needed different views of the same data, so I built separate screens for each type of user, with the logic underneath staying the same for everyone. I only automated the parts that actually saved effort or cut down risk.
What I built
It's one Airtable base that links reviews, assignments and the process around them properly. Custom forms handle data entry, so every review enters the system the same way, with the fields it needs. Each user type gets its own role-specific interface showing what that user needs and nothing more, so nobody wades through fields that aren't relevant to their part of the process. Automated assignments and alerts handle the key events as they happen, so nothing depends on someone remembering to check a sheet.
The outcome
The platform can take on more users and more reviews without needing proportionally more coordinating. There's very little admin now, and people trust the data, because entry is structured. You can see what's happening across the platform almost as it happens, so nobody spends their day working out who's reviewing what, and the team can focus on growing the business.
